Summary of The Role
We are seeking a highly organized and proactive Executive Assistant to support the CEO. The ideal candidate will be responsible for managing a busy schedule, handling administrative tasks, and ensuring smooth operations in day-to-day activities. This role requires excellent time management skills, attention to detail, and proficiency in handling invoices and financial documentation
Role Responsibilities
1. Schedule Management:
o Manage and maintain the calendar, scheduling meetings, appointments, and personal events. o Coordinate and prioritize appointments, ensuring there are no scheduling conflicts. o Send reminders for upcoming appointments, meetings, and deadlines. o Handle travel arrangements, including booking flights, accommodations, and transportation when necessary.
2. Invoicing & Financial Administration:
o Create, track, and send invoices to clients or vendors. o Maintain an organized system for all invoices, receipts, and financial records. o Track payments, follow up on overdue invoices, and provide reports on financial status when needed. o Ensure that all invoicing complies with company or individual standards.
3. Administrative Support:
o Handle general office administration tasks such as email management, document preparation, and filing. o Assist with various personal and professional tasks, such as research, data entry, and errands as required. o Prepare reports, presentations, and other documentation as needed.
4. Communication & Liaison:
o Serve as a point of contact for clients, vendors, and other parties, managing communication efficiently and professionally. o Coordinate meetings, conferences, and events as needed, both in-person and virtual. o Ensure timely and clear communication of any changes to schedules or tasks.
