Job Description

Summary of The Role

The Accounts Receivable Officer is responsible for managing the end-to-end accounts receivable function, ensuring accurate invoicing, timely collections, and maintenance of customer accounts. This role plays a key part in supporting the organization’s cash flow by monitoring outstanding balances, resolving billing discrepancies, and maintaining strong customer relationships. The position requires close collaboration with internal teams and customers to ensure accuracy, prompt payment, and continuous improvement of accounts receivable processes. Strong attention to detail, communication skills, and the ability to work both independently and as part of a team are essential for success in this role.

Role Responsibilities

Generate and distribute accurate and timely customer invoices in accordance with agreed terms
Monitor customer accounts to identify overdue balances and manage the collections process
Send payment reminders and follow up with customers to ensure timely settlement of outstanding invoices
Reconcile customer accounts, apply payments accurately, and maintain up-to-date records
Issue credit memos where required and ensure appropriate approvals are obtained
Obtain and review remittance advice slips to correctly allocate customer payments
Research and resolve billing discrepancies, including underpayments and overpayments
Respond to customer enquiries related to invoices, statements, and payment status in a professional and timely manner
Maintain accurate records and documentation related to accounts receivable activities
Identify opportunities to improve existing billing, collections, and reconciliation processes
Work collaboratively with internal teams to support financial reporting and operational efficiency

Requirements

Essential Skills, Knowledge & Experience

Sound accounting knowledge with a preference for experience in bookkeeping or accounts receivable procedures
Proficiency in accounting software, with Xero experience preferred
Strong numerical ability with high levels of accuracy and attention to detail
Competency in Microsoft Office Suite, particularly Microsoft Excel
Excellent written and verbal communication skills
Strong problem-solving skills with the ability to investigate and resolve discrepancies
Effective organization and time management skills, with the ability to manage multiple priorities
Ability to work effectively both independently and as part of a team
